E-Trail DA Retention Manager allows clients to define retention policies using the richest criteria available in any product. Many products stop at using email header data to determine a single retention policy. E-Trail Digital Archive allows clients to apply multiple retention policies per email (or other electronic communication) using both header and message data including attachments. “Many vendors fail to understand that the retention requirements of a document often involve an analysis of the documents content, and not only the metadata.” asserts Riel. E-Trail Digital Archive policies can be applied proactively, i.e. as the message is processed into the archive, or retroactively at a future date/time. The two types of retention policy assignment are required by clients to allow for easy normal operation as well as the ability to respond to future regulations/internal policies retroactively.
E-Trail DA Retention Manager provides clients maximum flexibility by allowing for retroactive modification of assigned policies. Many email archive products that support retention policies do not allow retroactive modification. This type of modification is and will be necessary not only when regulations change, but when companies decide to change an internal policy. Many retention policies are inspired by statutes, but are often decided by senior management. Laws change, policies change and interpretations change.
